TREO 650 Phone Number Synching

Question:

 

Does anyone know how the phone fields transfer to the Treo 650?

 

For example:


How many, and what order, does Agent Office transfer this data back and forth? I have added numbers to the Main or Work phone fields on Agent Office, but they don't come over to the Treo contact. And then in some cases I think maybe the email address has used up a spot on the handheld bumping out one of the phone numbers. With clients having their own cell and work #'s in addition to home # and email, it seems like there's too many?

 

Answer:

 

It depends on which software you are syncing your Palm to AgentOffice with. The Intellisync software offers you a bit more flexibility, but the APP Interface will sync. Because you mentioned that the Work number is not coming across, I think that you are using the Intellisync to sync your Treo to AgentOffice. In fact, I just did a test with a new user. I created a new contact in AO, and added two numbers, one labeled Main, and one Work.  When using the APP Interface, both came over just fine, with no adjustments necessary. However, when syncing to Intellisync, neither came over. The reason is that by default the Intellisync program is only setup to sync six phone numbers, and they have to be labeled one of the following:

Office
Home
Mobile
Pager
Fax
Other

So as you can see, your Main and Work numbers are not listed there, so they don't sync be default when using the Intellisync to sync AO and a Treo, or any other Palm for that matter. To get those numbers into your Palm, here is what you need to do with the Intellisync program.

1. Open Intellisync, and click Contact Options on the left under AgentOffice. If you are asked to login, then login.

2. Click on the Additional Contact Info tab at the top. You need to check the Phone 1, Phone 2, Phone 3, and Phone 4 boxes. For this purpose, you may also want to check the Last Note and Previous Note boxes. Click OK.

3. Click on the Contact Options button on the left under Pilot, then click Advanced Settings, then click Field Mapping.

4. You will want to scroll down about half way until you see Notes on the left hand column under Palm OS. Next to that on the right should be Last Note. You want to drag and drop Note, on the left, down one notch so its next to Additional Contact Info, making sure that the double-sided arrow is between them.

5. Click OK all the way out, and sync again.

What this process does is sync the four phone fields which are displayed on each contact in AgentOffice to the Notes section of the Palm. So you can have any of the six phone numbers listed above in the typical phone number field on the Palm, but if you have any non-standard numbers, like Main and Work, displayed on the contact in AO, you will be able to find those numbers in the Notes for that contact on the Palm.
